  • Mode: Flow Builder. You want structured questions, not a free chat.
  • Knowledge Source: Direct Prompt with services, prices (or "from €X"), policies, FAQ.
  • Integrations: Google Sheets for leads + email notifications. Optional: Make to send leads to your CRM.

A simple qualification flow

A great service-business flow looks like this:

  1. Message: "Hi! 👋 What kind of project do you need help with?"
  2. Multi Choice: [New website] [Maintenance] [Other]
  3. Question: "Got it. Tell me a bit more about it."
  4. Email block: "What's the best email to reach you at?"
  5. Message: "Thanks! Riin will email you within 1 business day."

This is short, friendly, and collects what you need. You can change the questions to fit your services.

What to feed your bot

Open AI Knowledge Studio → Direct Prompt and add:

  • What you do, who you serve, and why people pick you.
  • Contact email, phone, contact form URL.
  • Services with rough pricing (or "starting from").
  • Working hours and how to book.
  • Cancellation and rescheduling policy.
  • Location (on-site, remote, both).
  • FAQ: 5–10 common questions.

Avoid these mistakes

  • No qualifying questions — if you ask only for an email, you'll get lots of bad leads.
  • Hidden prices — the bot can say "from €X". Saying nothing makes people leave.
  • Long flows — keep the flow under 6 steps. Anything longer drops off badly.
