A few minutes of planning before you build your AI chatbot will save you hours of frustration. This guide helps you gather the right information so your bot can give helpful, accurate answers from the very first conversation.
1. Define Your Bot’s Goal
First, decide on the single most important job you want your chatbot to do. Don’t try to make it do everything at once. A focused bot is a useful bot.
Good examples:
- Generate qualified leads for my sales team.
- Answer common questions about our products.
- Help visitors find the right product for their needs.
- Book appointments for my service business.
Write down your primary goal. This will guide all of your other decisions.
2. Give Your Bot a Personality
How should your bot sound? The personality should match your brand. Is it friendly and casual, or formal and professional? Write down a few adjectives to describe its tone.
- Example: Friendly, helpful, and a little bit fun.
- Example: Professional, knowledgeable, and efficient.
This will be used in the Global Instructions to define your bot’s persona.

3. Gather Your Knowledge
This is the most important step. Your AI chatbot is only as smart as the information you give it. You will add this information to the Knowledge Base or Direct Prompt.
Collect the following information in a document:
- About Your Business: What do you do? What makes you unique? (e.g., handmade, fast shipping, family-owned).
- Product/Service List: A clear list of what you sell. For each item, include its name, price, a short description, and a direct link to its page.
- Current Promotions: Any special offers, discounts, or sales that are currently active.
- Bestsellers: A list of your most popular products that the bot should recommend first.
- Frequently Asked Questions (FAQ): The top 5-10 questions customers ask all the time. Include questions about shipping, returns, customization, etc.
Having all this information ready will make the setup process incredibly fast.

4. Plan the Welcome Message
What is the very first thing your chatbot should say? A great welcome message engages the user and tells them what the bot can do.
- Good example: “Hi! I’m the AI assistant for [Your Business Name]. I can help you find the perfect product or answer your questions. What are you looking for today?”
- Bad example: “Hello.”
