Your AI chatbot can learn from two different types of knowledge sources: a Direct Prompt or a Knowledge Base. Understanding the difference will help you choose the best one for your business.

Direct Prompt
The Direct Prompt is a single, large text field where you paste all of your business information. Think of it as giving the AI a single, comprehensive “cheat sheet” that it can read all at once.
- Character Limit: 250,000 characters
- How it works: You copy and paste information from your website, documents, or write a custom prompt directly into the text field.
When to use Direct Prompt:
- For Speed: It offers the fastest possible response times (often 1-2 seconds) because the AI has all the information in its immediate memory.
- For Creativity: It’s better for complex situations where the AI needs to draw connections between different pieces of information (e.g., comparing two different products in a creative way).
- For Most Small Businesses: The character limit is large enough to hold the entire content of most small business websites.

Knowledge Base
The Knowledge Base is a more structured library of information. Instead of one big text field, you can upload multiple files and add website URLs for the AI to learn from.
- Character Limit: 500,000 characters
- How it works: You can upload PDF, TXT, or DOC files, or add URLs. The AI will then search this library for the most relevant information to answer a user’s question.
When to use Knowledge Base:
- For Large Amounts of Information: If you have dozens of documents, a huge website, or very detailed product manuals, the Knowledge Base is a better choice.
- For Easy Updates: It can be easier to manage and update individual files or URLs rather than editing one giant text prompt.
- For Structured Data: It works exceptionally well with structured documents like product catalogs or price lists.

Which One Should You Choose?
Here is a simple table to help you decide:
| Feature | Direct Prompt | Knowledge Base |
|---|---|---|
| Best For | Speed & Creativity | Large, structured data |
| Setup | Copy & Paste | Upload files/URLs |
| Character Limit | 250,000 | 500,000 |
| Use Case | Most small businesses, complex sales scenarios | Businesses with extensive documentation |
Our Recommendation: Start with the Direct Prompt. It’s the easiest and fastest way to get a powerful AI chatbot running. If you find that you have too much information to fit, you can always switch to the Knowledge Base later. 🎉
